Terms of Service for Guests.
The rules for guests of Chivent events and albums, in plain English.
Last updated: October 22, 2026
These Terms of Service for Guests (“Guest Terms”) apply when you take part in a Chivent event or album as a guest. Chivent is operated by Chelodo B.V. (“Chivent,” “we,” “us”). Please read these Guest Terms before you upload or share anything. Our Privacy Policy for Guests explains how we handle your personal data.
If you have a Chivent account and host events or places, our main Terms of Service and Privacy Policy apply to that.
1. About These Terms
You’re a guest when you use an event or album that someone else hosts, without needing a Chivent account. For example, you might look at photos and videos, upload photos, videos or photo notes, add captions, comments, reactions or favorites, or enter your name to take part. These Guest Terms cover both ways guests use Chivent:
- Events. A host creates an event, such as a wedding, party or corporate event, and shares its link or QR code with guests.
- Visit albums at a place. A host prints one permanent QR code for a place, such as a holiday home, boat, campervan, tour or venue. Each group that scans it starts or joins its own private album for their visit (a “visit album”).
In these Guest Terms, the “host” is the person or organization that created the event or the place, and the “Service” means the Chivent website, services and applications.
1.1. Other Terms That May Apply
Hosts use Chivent under our main Terms of Service. If you also have a Chivent account, the main Terms of Service apply to your account and to any events or places you host, while these Guest Terms apply when you take part in someone else’s event or album.
A host may also have its own rules for its event or place, such as house rules or a photo policy. Those rules are between you and the host. They don’t change these Guest Terms, which govern your use of Chivent.
1.2. Accepting These Terms
By opening or using an event or visit album, you agree to these Guest Terms. When you start or join a visit album, we also ask you to confirm this by ticking a box. If you don’t agree, please don’t use the Service.
2. Who Can Use Chivent as a Guest
As in our main Terms of Service, the Service is intended for people who are at least 18 years old. By using it as a guest, you confirm that you’re 18 or older. If you’re younger, please ask a parent, guardian or the host to share the photos with you instead.
When you give us a name or email address, it must be your own. Don’t use someone else’s.
3. The Host’s Role
Hosts decide how their events and places work, so what you can see and do depends on their settings.
3.1. Events
The host runs the event. Depending on its settings, the host can:
- protect the event with a password;
- ask guests for their name and email address before they take part (guest registration), as an option or as a requirement;
- approve uploads and comments before others can see them;
- decide whether guests can upload, see everyone’s uploads or only their own, download files, delete their own uploads, add captions or photo notes, comment, react, save favorites, or share to social media;
- show uploads on a live photo wall, for example on a screen at the venue; and
- delete any upload or comment, and remove reactions.
The host, and any co-hosts it invites, can see and download everything uploaded to the event and see the names and email addresses guests enter. The host can delete the event at any time, and the event ends when the storage period of the host’s plan runs out.
We don’t review content before it appears at an event. We aren’t responsible for how a host runs its event, for content other people upload, or for what the host or other guests do with content they download.
3.2. Visit Albums at a Place
A visit album is private to your group. The host of the place can’t open the album or see its photos and videos.
The host can see limited details about each album: its name, dates and status, the name of the person who started it, how many members it has and how much storage it uses. The host also sets the rules for albums at its place, such as the longest visit allowed, how long uploads stay open after a visit ends, how much storage each album can use, whether new albums need the host’s approval, and the album’s design and features. The host can end a visit early, change its end date, or stop new albums from being started at the place.
Inside the album, the person who started it (the “creator”) manages the group: they can invite people, remove members and change the visit code.
4. Visit Albums: Codes, Members and Deadlines
This section applies only to visit albums.
4.1. Starting and Joining an Album
- To start an album, you give your name and email address and confirm your email address with a 6-digit code we send you. If the place offers overnight visits, you also choose how many nights you’re staying, within the limit set by the host. Visit dates and times follow the place’s local time.
- To join an album, you need its visit code or invite link, and your name. Your email address is optional, but only members with a confirmed email address get the download link when uploads close (see section 4.5).
- Some hosts confirm new albums before keeping them. You can already upload while you wait. If the host rejects the album, or doesn’t confirm it before the visit ends, the album is closed and its photos and videos are deleted. Members with a confirmed email address are told by email.
- An album can have up to 50 members at a time.
4.2. Visit Codes, Invite Links and Sign-In Links
- Anyone who has the visit code or invite link can join the album while the visit is running. Only share them with people in your group.
- The creator can change the visit code at any time. The old code and invite link then stop working, and everyone already in the album keeps access.
- Some of our emails contain links that open the album as you, such as the “Open your album” button in the welcome email and the sign-in links you can request. Sign-in links work once and expire after 30 minutes. Don’t forward these emails or links to anyone.
- Your access to the album is saved in your browser. Anyone who uses your device or browser may be able to open the album, so keep your device secure.
4.3. Removing Members
- The creator can remove other members. A removed member loses access straight away, and their confirmed email address can’t be used to join that album again. Their uploads stay in the album.
- Removing someone doesn’t change the visit code. To stop a removed person from joining again as a new member, the creator should also change the code.
- If you want to leave an album, ask the creator to remove you. To have your uploads removed, delete them yourself if the album allows it, or contact us at contact@chivent.com.
4.4. When Uploads Close
- A visit ends at the date and time shown in the album. The host can end it early or move its end date, up to 30 nights after the visit started.
- After the visit ends, members can keep uploading during a wrap-up period set by the host, of up to 72 hours. Nobody new can join during that time.
- When the wrap-up period ends, uploads close and the album can no longer be opened.
- Uploads also stop if the album reaches the storage limit set by the host.
4.5. Download Links
- When uploads close, we email a link to download all the album’s photos and videos as a ZIP file to each member with a confirmed email address. If you joined without an email address, you can add one in the album before uploads close.
- The link works for a limited time, which the email tells you. If nobody added any photos or videos, we don’t send a download link.
- Download everything you want to keep. Once an album is deleted, we can’t recover it.
4.6. When Albums Are Deleted
- Visit albums are deleted 30 days after uploads close. This includes all photos, videos and other content, and members’ names and email addresses.
- An album can be deleted earlier, without a download link: if the host rejects it (see section 4.1), if the host closes its Chivent account, or if we remove it under these Guest Terms.
5. Your Content
“Your content” means the photos, videos, photo notes, captions, comments and anything else you upload or post to the Service.
5.1. You Keep Ownership
You keep all ownership rights you have in your content. We don’t claim any ownership over it.
5.2. Only Share What You Have the Right to Share
You’re responsible for your content. Before you upload, make sure that:
- you took the photo or video yourself, or you have permission from whoever holds the rights in it, such as the photographer;
- sharing it doesn’t break anyone’s rights, such as copyright, privacy or image rights;
- the people shown would be comfortable with it being shared with the event’s audience or your group, especially in private or sensitive moments; and
- if it shows a child who can be recognized, you’re the child’s parent or guardian or have their permission, and nothing in it could embarrass the child or put them at risk.
If someone asks you to take down content that shows them or their child, please remove it if you can, or ask the host (for an event) or us (for a visit album) to remove it.
If someone makes a claim against us because of your content, or because you broke these Guest Terms, you agree to cover the reasonable losses and costs this causes us, to the extent the law allows.
5.3. The License You Give Us
To run the Service, we need your permission to handle your content. When you upload content, you give Chelodo B.V. a worldwide, royalty-free, non-exclusive license to host, store, copy, process, display and make your content available, solely as needed to operate, secure and provide the Service. This includes making previews and thumbnails, converting file formats, and creating ZIP files for download. In particular, it lets us:
- show your content to the people the event or album is shared with: for an event, the host, its co-hosts and, depending on the host’s settings, other guests and people viewing the event, including on a photo wall; for a visit album, the members of your group;
- let the host and co-hosts of an event (and other guests, if the host allows it) and the members of a visit album download copies of it; and
- if the host of an event turns on smart tagging, have our AI provider analyze your photos and videos to suggest tags.
This license ends when your content is deleted from the Service. It doesn’t cover copies that the host or other guests have already downloaded; what they do with those copies is between you and them.
Anyone who has the direct link to a photo or video can view it without signing in, so be careful who you share such links with.
5.4. Removing Content
- Events: if the host allows it, you can delete your own uploads. Otherwise, ask the host, who can delete any upload, or contact us.
- Visit albums: depending on the album’s settings, you may be able to delete your own uploads. Otherwise, contact us.
We may remove content, or limit access to it, if we believe it breaks these Guest Terms or the law, or if a court or authority requires it.
6. Acceptable Use
When you use the Service, you agree not to:
- break any law or violate anyone’s rights;
- upload or post content that is unlawful, harmful, abusive, threatening, hateful, defamatory or obscene, that infringes intellectual property rights, or that is otherwise objectionable;
- upload intimate or sexual images of anyone without their consent, or any content that sexualizes children;
- harass, bully or humiliate anyone, including the people shown in photos;
- pretend to be someone else or use someone else’s email address;
- try to get into events or albums you weren’t invited to, for example by guessing visit codes, passwords or links;
- upload malware, or try to interfere with, overload or compromise the security of the Service or its servers;
- use bots, scrapers or other automated tools to access the Service without our express written permission; or
- fill an event or album with spam or unrelated content.
We may report illegal content, especially content involving the abuse of children, to the competent authorities.
7. Reporting Content
If you see content on Chivent that you believe is illegal or breaks these Guest Terms, please email us at contact@chivent.com. Include a link to the event or place, which content you mean, and why you’re reporting it. For an event, you can also ask the host, who can remove content directly. We review reports and may remove content, limit access to it, or suspend the people involved.
8. Privacy
Our Privacy Policy for Guests explains what personal data we collect when you use the Service as a guest, how we use it, and the rights you have.
9. Availability and Disclaimers
The Service is free for guests. We work to keep it running smoothly, but it is provided on an “as is” and “as available” basis. We don’t guarantee that it will be uninterrupted, secure or error-free, or that content will never be lost. To the fullest extent permitted by law, we disclaim all warranties, whether express or implied, including the implied warranties of merchantability, fitness for a particular purpose and non-infringement.
Events and albums don’t last forever. A host can delete an event, an event ends when the storage period of the host’s plan runs out, and visit albums are deleted as described in section 4. Keep your own copies of anything that matters to you. We may change, suspend or discontinue any part of the Service.
10. Limitation of Liability
To the maximum extent permitted by applicable law, Chivent and its affiliates will not be liable for any indirect, incidental, special, consequential or punitive damages, or for any loss of profits, revenue, data or content, arising from your use of the Service. We are not responsible for the actions of hosts or other guests, or for content they upload, share or download.
Nothing in these Guest Terms excludes or limits any liability that cannot be excluded or limited under applicable law, such as liability for intent or gross negligence, and nothing in them affects your mandatory rights as a consumer.
11. Suspension and Ending Your Use
You can stop using the Service at any time. We may suspend or end your access to an event or album, or remove your content, if you break these Guest Terms, if the law requires it, or if it’s needed to protect the Service, hosts or other guests.
12. Changes to These Terms
We may update these Guest Terms from time to time. We will post the new version on this page and update the “Last updated” date. If a change is significant, we’ll take reasonable steps to let you know, for example in the Service or by email if you’ve given us your email address for an album that’s still open. If you keep using the Service after a change takes effect, the updated Guest Terms apply to you.
13. Governing Law
These Guest Terms are governed by the laws of The Netherlands, without regard to its conflict of law principles. Any legal action or proceeding arising under these Guest Terms will be brought in the competent courts located in The Netherlands. If you’re a consumer, this doesn’t take away the protection of the mandatory laws of the country where you live, or any right you have under those laws to bring a claim in your local courts.
